Your new role includes:
- Maintaining and updating information & records such as registers, directories, drawings and training certificates on numerous systems.
- Receiving, capturing, collating and distributing information
- Document and revision control.
- Progress reports/ meeting minutes / drone upload and submittals to Client
- Procore admin – setting up new users, providing assistance, carrying out document checks to ensure correct naming is followed and to reduce the risk of duplication.
- Evercam – providing access to staff
- Ordering stationery, consumables, furniture and all items for site set up
- Site Drawing Management- Cross check all drawings against drawing registers
- Maintain all plant records onsite. Keep costs down by tracking expected off hire. Liaising with plant department to ensure no errors.
- Overseeing the data/ hours/ reports from turnstile Paxton system and raising any issues
- Supporting site management with day-to-day site activities such as booking meeting room, delivery vehicles and visitors
- Tracking and maintaining all staff members training records on Skillko.
- Preparing monthly progress presentations
- Maintaining all waste dockets and cross checking against haulier logs
- Alpine Tag Patrol Reports – Extracting and uploading to Procore
- Dust Reports – Maintaining and uploading dust reports
- Booking staff nights out
- Assist in purchase and control of PPE stock and safety signage
Experience you need:
- Key Skills:
- Organizational Skills – Ability to manage multiple tasks, prioritize workload, and keep detailed records.
- Document Control – Experience handling project documentation, filing systems, and ensuring compliance with company standards.
- Communication Skills – Strong verbal and written communication to liaise with site teams, subcontractors, and senior management.
- Time Management – Ability to work in a fast-paced environment and meet deadlines.
- Attention to Detail – Ensuring accuracy in reports, invoices, and compliance documents.
- IT Proficiency – Strong skills in Microsoft Office (Word, Excel, Outlook), project management software, and document control systems.
- Problem-Solving Ability – Proactive in addressing site-based administrative challenges.
- Teamwork – Working effectively with multiple stakeholders on-site and in the head office.
Experience Required:
- Previous experience in an administrative role, ideally in a construction, engineering, or related industry.
- Experience in document control, invoice processing, and site compliance.
- Familiarity with health and safety documentation and site regulations.
- Experience working in a busy, site-based environment with multiple priorities.
- Knowledge of construction management software (e.g., Procore, Aconex, or similar) is a plus.
