Position: Office/Project Administration

Location: Kilkenny

Salary: Neg DOE

Our client is a privately owned company with over 20 years' experience in the Construction Industry who provide Building Services in the Commercial, Industrial, Education, Conservation, Sports, Leisure and Residential Sectors in partnership with both government bodies and private clients.

Key Responsibilities

Health & Safety Files:
Site Safety File:

  • Compiling and Ongoing Monitoring of the live Site Safety File Documentation.
  • Tracking RAMS, Safety Statements & Subcontractor Insurances.

Project Safety File/BCAR:

  • Compiling and ongoing filing of project information ready for Handover/Practical Completion.
  • Material/Product Certification Documentation Control.
  • Ancillary Certs on completion.
  • Quality Assurance Documentation.
  • Traffic Management, Construction Management, Waste Management Plans.

Tendering & Tender Prequalification's:

  • Tracking potential projects
  • Completing Prequalification Documentation to required deadlines.
  • Tailoring prequalification documents to demonstrate the company's strengths.
  • Developing the presentation of tender documentation.
  • Developing and tailoring works proposals.


  • Managing the company website and LinkedIn Profile.
  • Developing presentation of company brochures and tailoring them to specific projects.

Procore Document Control:

  • Uploading and monitoring all incoming Design Information on Procore Software for each project.
  • Information Schedules.
  • Monitoring RFI & Submittal Schedules.
  • Monitoring of Daily Logs.
  • Monitoring Developments in Procore software for training and role out to team members

Project Documentation:

  • Fortnightly Contractors Reports for each Project.


  • Creating Purchase Orders
  • Assisting accounts department.
  • Pricing/Tendering on site Plant & Equipment.
  • Tracking Company Plant & Equipment including Maintenance Schedules etc.
  • Tracking DL & Subcontractor Retentions.

Office Admin/Other:

  • Office Supplies.
  • Training schedules.
  • GDPR Compliance.
  • Efficiencies in Filing Systems and processes.

Minimum Requirements:

  • 1+ years of experience in project administrator.
  • BCAR experience would be preferrable.
  • Team player and able to multitask.
  • Previous construction experience an advantage
  • Strong IT Skills - Excel, Word, Outlook, Adobe
  • Excellent communication and interpersonal skills
  • Ability to work independently and contribute administrative support to teams.
